How to Publish an Estimate and Collect Customer Approval

Instructional video:

Publish a point-in-time estimate version so the customer can review its line items and totals and record approval online.

Before You Publish

  • Enable the Customer Authorization workflow in Account Billing.
  • Confirm the customer, vehicle, line items, prices, taxes, and estimate total are ready to share.
  • Add a customer email address before using Email Estimate.

Publish the Estimate

  1. Open the customer’s work order.
  2. Review the estimate details and total.
  3. Select Preview Estimate to publish the current estimate and open its customer-facing version.
  4. Alternatively, select Email Estimate to publish the estimate and send the customer an online link.

If the current published estimate has not changed, HibbittsAutoPro can reuse that version. After estimate details or totals change, previewing or emailing again publishes a new version.

Customer Approval Steps

  1. The customer opens the online estimate from the emailed View Online link, or reviews the customer-facing estimate at the shop.
  2. The customer reviews the estimate’s line items and totals.
  3. The customer selects Approve Estimate.
  4. The customer types their full name.
  5. The customer selects Confirm Approval.

After confirmation, the page displays Approved with the authorization date and time.

What HibbittsAutoPro Records

  • The name entered by the customer
  • Electronic as the authorization method
  • The authorization date and time
  • Related contact and request details available to the shop

Note: Customer authorization applies to published estimates. Refresh the work order after a customer approves in another browser or device to display the latest Customer Sign-Off details.
