Booked appointments appear in the Appointments section of the admin dashboard. From there, your shop can review appointment details, track status, open related customer and vehicle records, and create a work order.
View and Filter Appointments
- Open Appointments from the sidebar.
- Use Filter by Date to focus on a specific day.
- Use Filter by Status to show booked, confirmed, completed, cancelled, or no-show appointments.
- Select View to open the appointment details.
Review Appointment Details
The detail view shows the customer, email, phone, vehicle, VIN when available, scheduled time, selected service, and status. Customer and vehicle names link directly to the related records.
Update Appointment Status
- Open the appointment detail view.
- Select a new status from the dropdown.
- Select Save Changes.
Create a Work Order
Select Create Work Order from the appointment detail view to start a new work order using the appointment customer and vehicle context. This turns an online booking into the start of the service workflow.
Customer and Vehicle Matching
When an appointment is booked, HibbittsAutoPro checks for an existing customer by email first, then by phone. If no match is found, a new customer record is created. For vehicles, the system checks VIN first. If no VIN match is found, it can match by year, make, and model, scoped to that customer service order history. This helps reduce duplicate customer and vehicle records.
